Text Marketing for Small Business: A No-BS Starter Guide

Why Text Marketing Is the Cheat Code for Small Business

I am going to give it to you straight: if you run a local business and you are not using text marketing, you are leaving money on the table. Not theoretical money. Real, measurable, "this could cover another employee's salary" money.

Here is why. According to SimpleTexting's 2025 SMS Marketing Report, text messages have a 98% open rate. Compare that to email (20%), social media organic reach (2 to 5%), and direct mail (5 to 10%). No other marketing channel comes close to the attention that a text message commands.

And it is not just opens. Text messages get read within 3 minutes on average (Zipwhip, 2025). Your email might sit unread for days. Your Instagram post might never appear in someone's feed. But a text? It gets read. Almost always.

For small businesses (restaurants, salons, studios, shops, practices) that depend on repeat visits from local customers, text marketing is the single most effective channel for driving action. Not awareness. Not "brand building." Action. As in "they read the text and they show up."

The 4 Things You Need to Start

You do not need a marketing degree or an expensive platform to start texting your customers. You need four things:

1. A List of Phone Numbers (With Permission)

This is non-negotiable. You cannot text people who have not given you permission. Beyond being illegal (we will cover compliance in a minute), unsolicited texts annoy people and damage your reputation.

How to build your list:

  • POS capture: Many POS systems can capture phone numbers from transactions. Check your Square, Toast, or Clover settings.
  • Booking systems: If customers book appointments through Vagaro, Mindbody, Booksy, or similar platforms, you already have their phone numbers.
  • Sign-up forms: A QR code on your counter or table that links to a simple sign-up form. "Join our text list for exclusive offers."
  • WiFi login: Capture phone numbers through your guest WiFi portal.
  • Verbal ask: "Can we add you to our text list? We send a couple messages a month with specials and first-access to events."

2. A Texting Platform

Do not text customers from your personal phone. You need a business texting platform for several reasons: compliance tracking, opt-out management, scheduling, templates, and analytics.

Here are three solid options for small businesses:

Any platform you choose should handle opt-out management automatically (this is required by law) and provide delivery and response analytics.

3. Compliance Knowledge

Text marketing is regulated by the Telephone Consumer Protection Act (TCPA) and, if you are in certain states, additional state-level laws. The penalties for violations are steep: $500 to $1,500 per unsolicited message.

Here are the rules in plain English:

  • Get written consent before texting. This can be digital (a checkbox on a form, a text keyword opt-in, or an in-app consent). Verbal consent is technically acceptable but harder to prove.
  • Include opt-out instructions. Every marketing text must tell recipients how to opt out. "Reply STOP to unsubscribe" is the standard.
  • Honor opt-outs immediately. When someone replies STOP, you must stop. No "are you sure?" follow-ups. No "one more offer." Stop.
  • Identify yourself. Every message should include your business name so the recipient knows who is texting them.
  • Respect quiet hours. Do not text before 8 AM or after 9 PM in the recipient's local time zone.

4. A Content Plan (5 Campaign Types)

You do not need to text every day. You do not even need to text every week. You need the right messages at the right times. Here are the five campaign types that cover 90% of what a small business needs:

Campaign 1: The Welcome Text

When: Immediately after someone joins your text list.

Purpose: Set expectations and deliver the promised value.

Template: "Hey [Name], welcome to [Business Name]! You will hear from us a couple times a month with exclusive deals and updates. Here is your first one: [offer]. Show this text on your next visit."

Performance benchmark: According to Attentive's 2025 SMS benchmark data, welcome texts with an offer see a 25 to 35% redemption rate within 14 days.

Campaign 2: The Post-Visit Follow-Up

When: 24 to 48 hours after a customer's visit.

Purpose: Thank them, ask for feedback, prompt the next visit.

Template: "Thanks for coming in yesterday, [Name]! How was everything? If you loved it, we would really appreciate a quick Google review: [link]. See you next time!"

Campaign 3: The Win-Back Text

When: When a customer has not visited in 2x their normal interval.

Purpose: Bring them back before they are gone for good.

Template: "[Name], we have not seen you in a while and we miss you! Come back this week and enjoy [offer]. Expires [date]."

Win-back texts recover 12 to 20% of lapsed customers on average (Klaviyo, 2025). On a base of 200 lapsed customers, that is 24 to 40 people brought back, each worth hundreds or thousands in future revenue.

Campaign 4: The Birthday Text

When: On or shortly before the customer's birthday.

Purpose: Generate goodwill and a high-value visit (birthday visits often bring groups).

Template: "Happy birthday, [Name]! To celebrate, your [item or service] is on us when you visit this week. Bring your friends!"

Campaign 5: The Exclusive Offer

When: Sparingly (once or twice a month max).

Purpose: Drive visits during slow periods or promote specific items/services.

Template: "Hey [Name], this is just for our text list: [exclusive offer]. Today through [day]. Reply STOP to unsubscribe."

The key word is "exclusive." If you send the same offer on Instagram, email, and your website, the text list has no value. Text list offers should be genuinely exclusive to reward subscribers and give them a reason to stay on the list.

What Not to Do

Text marketing is powerful, which means it is easy to abuse. Here are the most common mistakes:

Texting too often

More than 4 to 6 marketing texts per month and you will see opt-out rates spike. According to SimpleTexting's 2025 data, the optimal frequency for local businesses is 2 to 4 messages per month. Every message beyond that sees diminishing returns and increasing opt-outs.

Sending without value

Every text must pass the "would I want to receive this?" test. "Happy Thursday!" is not a text. "Happy Thursday, your next haircut is 20% off this weekend" is a text.

Ignoring replies

When customers reply to your texts, respond. Text marketing is a two-way channel. If someone texts back "What time do you close?" and gets no response, you have just shown them that you do not actually care. Set up auto-replies for common questions and have someone monitoring for real conversations.

Using URL shorteners from unknown services

Some SMS platforms automatically shorten URLs with their own branded shortener. This is fine. But using random URL shorteners (like bit.ly) can trigger carrier spam filters and prevent your messages from being delivered. Use your platform's built-in shortener or your own domain.

Measuring Your ROI

Track these metrics monthly:

  • List size: How many opted-in subscribers do you have? Target: grow by 10%+ per month until you reach a meaningful base.
  • Delivery rate: What percentage of messages are actually delivered? Should be 95%+. If it is lower, you have data quality issues.
  • Opt-out rate: What percentage of subscribers unsubscribe per month? Keep this under 2%. If it is higher, you are texting too often or your content is not valuable enough.
  • Attribution: How many visits or sales can you tie back to a text message? Use unique offer codes or "show this text" redemption to track.
  • Revenue per message: Total attributed revenue / Total messages sent. This is your ultimate ROI metric.

Most local businesses using text marketing see a return of $20 to $50 per message sent (SimpleTexting, 2025). At 4 messages per month to a list of 500 people, that is $40,000 to $100,000 in annual attributed revenue from a channel that costs a few hundred dollars per month.
