AppFolio data export and terms of service: what AppFolio, Buildium, Rent Manager, Rentvine and Vantaca say about your data and AI
On this page
The short answer
AppFolio's terms of service say you retain all right, title and interest in your data, and AppFolio will not sell your Business Data (source: AppFolio Property Manager Core Terms of Service (Jan 30, 2026)). For an AppFolio data export, the catch is timing: when you cancel, you are expected to retrieve your data before the subscription ends. Buildium's terms make the property owner the owner of the Owner Data (source: Buildium Terms of Use (updated Oct 5, 2026)).
Two platforms limit AI use directly. Rentvine bars training AI on data obtained through its services without its written consent (source: Rentvine Terms (last modified Oct 14, 2026)), and Vantaca bans training AI on its services or data derived from them (source: Vantaca Terms of Service (July 2026)). Export through each platform's own reports while you are subscribed, never with a scraper or AI agent. Those exports are what a data license is built from.
What AppFolio, Buildium, Rent Manager and the others store
Each platform holds the core of a management company's history: the work order, the vendor and cost, the leasing conversation, the ledger note, the owner statement. That linked history is what AI buyers want, once tenant and owner details come out.
| Platform | Common in | Records it usually holds |
|---|---|---|
| AppFolio Property Manager | Residential and mixed portfolios, from small firms to large managers | Work orders, leasing pipeline, applications, leases, ledgers, owner statements, resident and owner messages |
| Buildium | Smaller residential and association managers | Properties, tenants, leases, work orders, accounting, owner portal data |
| Rent Manager | Residential, commercial and mixed portfolios | Properties, tenants, service issues, accounting, owner reporting |
| Yardi Breeze | Small and mid-size residential and commercial | Leasing, work orders, accounting, resident and owner portals |
| Propertyware | Single-family portfolios | Work orders, leasing, accounting, owner reporting |
| Rentvine | Residential managers | Work orders, leasing, accounting, owner and resident portals |
| Vantaca, CINC | Community association managers | Violations, architectural requests, assessments, board and homeowner records |
| HappyCo, Property Meld | Inspections and maintenance coordination | Inspection reports and photos, maintenance requests, vendor scheduling |

AppFolio terms of service and AppFolio data export
AppFolio Property Manager Core's terms, last updated January 30, 2026, are friendly to the customer on ownership and strict on how you get data out.
- Ownership. “You will retain all right, title and interest in and to your data” (§1.4). AppFolio may use Business Data to provide and improve its services, aggregates and anonymizes it for industry reports, and says “We do not and will not sell your Business Data” (§9.2) (source: AppFolio Property Manager Core Terms of Service (Jan 30, 2026)).
- Disputes. AppFolio reserves the right “to determine rightful database ownership” and to transfer a database to the rightful owner when parties disagree (§13) (source: AppFolio Property Manager Core Terms of Service (Jan 30, 2026)). Owners who leave a manager sometimes claim the database, so this clause matters.
- Scraping. You may not “use any robot, spider, or other automated device, process or means to access, retrieve, scrape or index any portion of the Services” (§5.4(ix)) (source: AppFolio Property Manager Core Terms of Service (Jan 30, 2026)). AppFolio's API terms also bar bulk extracts that “abnormally impact server resource utilization” (§8.2(x)) (source: AppFolio Value+ Terms, Realm-X and APIs (Sept 21, 2026)).
- Cancellation. AppFolio may delete your account and data after a reasonable period, and if you terminate or let the subscription expire, “you are expected to retrieve your data prior to the termination or expiration” (§6.3). The 30-day retrieval window applies only when AppFolio terminates (source: AppFolio Property Manager Core Terms of Service (Jan 30, 2026)).
- AppFolio AI. Under the Value+ Terms (September 21, 2026), AppFolio may use and retain Realm-X inputs and outputs and share them with third-party partners for purposes including training and improving Realm-X (§4.2) (source: AppFolio Value+ Terms, Realm-X and APIs (Sept 21, 2026)). That clause governs what AppFolio does with Realm-X content. It does not grant you or a buyer anything.
The practical route for an AppFolio data export is AppFolio's own reports, run by your team while the subscription is live, and saved where you control them.
Buildium terms of service: the owner holds the data
Buildium's Terms of Use, updated October 5, 2026, are built around the property owner rather than the manager.
- “The license to access and use any Services is held by the applicable Owner for each Property” (§2.a). Owner Data is what the manager, the owner or Buildium at their direction enters into the services (§10.a), and the owner warrants that it “owns all right, title and interest in and to the Owner Data” (§10.b) (source: Buildium Terms of Use (updated Oct 5, 2026)).
- On a change of manager, Buildium “will not transfer any historical data” for the property to the new manager or owner without the former owner's written permission (§4.d) (source: Buildium Terms of Use (updated Oct 5, 2026)).
- Buildium is not required to keep Owner Data after the license ends (§10.e), and data may be deleted if the account is 15 days or more delinquent (§6.b). We found no data export right in the text (source: Buildium Terms of Use (updated Oct 5, 2026)).
- The owner grants Buildium a perpetual license to use Owner Data in aggregated form, with personal identifiers removed, for benchmark reports and industry research (§10.d). Buildium AI tools are offered under §22, and users are responsible for the data they put into them (source: Buildium Terms of Use (updated Oct 5, 2026)).
What this means for a Buildium firm
Work orders, leases and ledgers in Buildium are the property owners' data under these terms. A license either rests on written owner consents, or on the records your firm keeps outside Buildium: SOPs, training, internal chat, email and your own accounting. Our guide to who owns property management records covers owner consent in more detail.
Yardi Breeze and CINC: your data, with short exit windows
Yardi Breeze's Terms of Use (June 13, 2025) say the data “does not belong to Yardi” and that “you may copy, delete, and export this data at any time” (§8(a)). They also bar scraping and transferring “data other than your own data (such as Yardi-compiled Matrix or ILS data)” (§2(b)). At the end of 45 calendar days after the term, all data is deleted (§5(a)), and Yardi will not deliver the data to you (§9(d)) (source: Yardi Breeze Terms of Use (June 13, 2025)). For a Yardi data export, run the standard reports before you give notice.
CINC Systems, common with association managers, says it does not own any data you submit and offers a CSV export on termination unless CINC terminates for your breach (§4). It may delete data more than 30 days after termination (§10), or once the account is 90 days delinquent (§9) (source: CINC Systems Software License and Service Terms (Sept 1, 2025)). We found no AI clause in CINC's terms. For association clients, the bigger question is state law on association records, not CINC.
Yardi Voyager, Entrata and ResMan have their own, stricter terms on report formats, schemas and export tools. The multifamily developer guide covers them, so we do not repeat them here.
Rentvine and Vantaca: AI clauses that limit a license
These two platforms have the most direct AI terms we found in property management.
- Rentvine (last modified October 14, 2026). The client keeps its data “in the form originally provided to Rentvine” (§4.b.1), and Rentvine holds a perpetual license that includes training its own AI models, while saying it will never use client data in a way that exposes the client's identity. The client may not use “any data obtained from or through the Services or Software, including any outputs, reports, analytics” to train or develop any AI model without Rentvine's prior written consent (§4.c(xii)), and may not use AI agents, robots or scrapers (§4.c(xiii) to (xv)). After termination, the client gets up to 90 days to retrieve its data if paid in full (§2.c(vii)) (source: Rentvine Terms (last modified Oct 14, 2026)).
- Vantaca (July 2026). The terms bar using “the Services or any data derived therefrom to train artificial intelligence models or machine learning algorithms” (§2.3(j)) and restrict AI agents that systematically extract data (§2.3(k)). They assign to Vantaca any data models, algorithms or methodologies developed using the software or Customer Data (§2.1), and Vantaca keeps Customer Data no more than 30 days after termination (§3.3(d)) (source: Vantaca Terms of Service (July 2026)). We did not find a clause saying the customer owns its data in this version.
For a Rentvine firm, a license usually starts with a written request to Rentvine for consent, or rests on records kept outside the platform. For a Vantaca firm, Vantaca-sourced data is a poor fit for an AI license, and the manager's own process documents are the realistic scope.
Rent Manager and Propertyware: read your signed agreement
Rent Manager, from London Computer Systems, does not publish its customer license agreement that we could find on October 18, 2026. Your signed agreement governs ownership, export and any use limits, so ask your account team for it and for the export formats available.
Propertyware's published Terms of Service are dated November 8, 2018. They contain no express ownership clause for user data and say Propertyware has no obligation to maintain, preserve or forward it (§6). On cancellation, user data is automatically and permanently deleted (§16), and it may be deleted if the account is 15 days or more delinquent (§15). The terms bar robots and automatic devices (§9) (source: Propertyware Terms of Service (Nov 8, 2018)). Your current order form may have newer terms.
Inspection and maintenance apps: HappyCo and Property Meld
Inspection photos and maintenance tickets are some of the most useful records a manager has, and they often live outside the core platform.
- HappyCo (September 29, 2026). Users grant HappyCo a perpetual license to uploaded material, and HappyCo and its third-party AI providers may use data to develop, train and improve AI models. The terms bar automated access, including to train AI tools, and say account data is deleted at cancellation, with no backup kept more than 30 days after (source: HappyCo Terms of Use (Sept 29, 2026)). Export reports and photos while you are subscribed, and expect a buyer to read these terms.
- Property Meld (August 27, 2025). The public Terms of Use say “You retain ownership of your Content,” and we found no AI or anti-scraping clause. Paid customers are governed by a separate Subscriber Agreement, which is not published (source: Property Meld Terms of Use (Aug 27, 2025)).
An export plan for a property management data license
- Pull your terms. Save the current public terms and your signed order form or master agreement for each system. Note the ownership clause, the post-cancellation window and any AI clause.
- Sort by owner. Separate records your firm owns from records that belong to property owners (Buildium, and some management agreements) or associations.
- Ask for consent where needed. Rentvine for AI-training use; property owners for Buildium data. Vantaca data stays out.
- Export with the vendor's own tools. Standard reports, CSV exports or backups, run by your team while subscribed. No scrapers, bots or AI agents.
- Store and log. Keep the exports where you control them, with a note of what each file covers and when it was run.
- Then cancel or migrate. Only after the export is complete and checked.
If you are planning a sale, the acquirer will usually migrate you off your platform, so the export comes first; our guide to selling a property management company covers the timing. For which buyers want these records and what they pay, see the property management data licensing guide, the buyer directory, or the property management page, which shows what your exported work orders and leasing records could qualify for.
How Regulr is paid, and how we write these pages
Regulr is a sell-side advisor. When a business we introduce signs a license, we may be paid a fee by the buyer or through a program's referral terms. We list every program we can verify whether or not it pays us, order is never set by fees, and every figure is the company's own advertised term with a link to where it says so. Regulr has not closed a data deal yet, so nothing here describes our results.
Frequently asked questions
Who owns my data in AppFolio?
AppFolio's Core Terms of Service, last updated January 30, 2026, say you will retain all right, title and interest in and to your data (Section 1.4), and that AppFolio does not and will not sell your Business Data (Section 9.2). AppFolio also reserves the right to determine rightful database ownership when ownership is disputed (Section 13). Your signed order form also applies.
How do I export data from AppFolio?
Use AppFolio's own reports and exports while your subscription is active. Its terms say that if you cancel or let the subscription expire, you are expected to retrieve your data before it ends; a 30-day retrieval window applies only when AppFolio terminates (Section 6.3). The terms bar robots, spiders and scrapers (Section 5.4(ix)), and API bulk extracts that abnormally load AppFolio's servers.
Who owns the data in Buildium?
Buildium's Terms of Use, updated October 5, 2026, say the license to the services is held by the owner of each property (Section 2.a), and the owner warrants that it owns all right, title and interest in the Owner Data (Section 10.b). Owner Data covers what the manager, the owner or Buildium enters at their direction (Section 10.a). For a data license, that means the property owner's consent comes first.
Does Vantaca allow AI training on my data?
No. Vantaca's Terms of Service, last updated July 2026, bar using the Services or any data derived from them to train artificial intelligence models or machine learning algorithms (Section 2.3(j)), and restrict AI agents that systematically extract data (Section 2.3(k)). Vantaca has no obligation to keep Customer Data beyond 30 days after termination (Section 3.3(d)). Vantaca-sourced data is a poor fit for an AI license.
Can I use Rentvine data to train AI?
Not without Rentvine's prior written consent. Its terms, last modified October 14, 2026, bar using any data obtained from or through the services, including outputs, reports and analytics, to train or develop any AI model (Section 4.c(xii)). Rentvine itself holds a perpetual license that includes training its own AI models on client data (Section 4.b.1).
What happens to my data if I cancel my property management software?
It depends on the vendor. AppFolio expects you to retrieve data before you cancel, Yardi Breeze deletes everything 45 days after the term, Propertyware deletes user data on cancellation, CINC may delete it more than 30 days after termination, Vantaca keeps it no more than 30 days, and Rentvine allows up to 90 days if your account is paid. Export first, then cancel.
Does Rent Manager publish its terms?
We could not find a published Rent Manager customer license agreement. Your signed agreement with London Computer Systems governs ownership, export and any limits on use. Ask your account team for a copy and for the export formats available before you plan anything.
