Deltek, Autodesk, Newforma, Bluebeam and Egnyte: what A/E software terms say about your data and AI

An A/E firm's history sits in a handful of systems. Here is what each vendor's current terms say about who owns that data, whether the vendor trains AI on it, and how long you have to get it out, with the section numbers we read on October 18, 2026.

The short answer

The A/E software terms we read mostly leave the firm owning its data. Deltek's SaaS Terms say the customer owns all rights in Customer Data (ST12.1) (source: Deltek SaaS Terms V20261009), and its AI page says customer data will not be used to train large language models (source: Deltek, AI security and trust). Autodesk said in December 2025 that you own your content and “may train on your models and data” (source: Autodesk News, terms of use update (Dec 8, 2025)). Newforma's October 2026 agreement bars it from training shared AI on Customer Data (source: Newforma MSSA, effective October 1, 2026).

Two things need attention before a license: export windows of 30 to 90 days after termination, and older grants. Firms on Newforma Konekt's 2023 terms gave Newforma a perpetual license that includes AI training (source: Newforma Konekt terms (updated June 26, 2023)), and Bluebeam's AI trials carry a similar grant (source: Bluebeam Product and Services Addendum (March 7, 2026)).

Exit windows are from each vendor's published terms read on October 18, 2026 (sources below). Your signed order form or an on-premises license can differ.

For most firms the first records licensed come from the accounting and project system, because proposals, fee estimates and hours by phase are the firm's own business records. Drawings and project correspondence come second, after the client-contract screen described in our guide to who owns architectural drawings and engineering documents.

Deltek Vantagepoint and Ajera data terms

Deltek's hosted products run under its SaaS Terms, version V20261009 when we read them. Four clauses matter for a license (source: Deltek SaaS Terms V20261009):

  • Ownership (ST12.1). “Customer owns all rights, title and interest in and to Customer Data.”
  • Internal use (ST2). The service is licensed for the customer's internal use. That limits how you use Deltek's software, not who owns the data you put in it.
  • No bots or scraping (ST3.2). Collecting information from the service by web bots, scraping, crawling or spidering is barred unless Deltek approves it in writing. A data export should run through Deltek's own reports, exports or API, not a scraping tool.
  • Return of data (ST12.2). Deltek provides Customer Data on a written request made within 30 days of termination or expiration, and after that has no obligation to keep it. It may hold backups for up to 12 more months, which are not a way to get your data back.

On AI, Deltek's AI page says “Our customers' data will not be used to train large language models (LLMs)” and introduces its assistant, Dela (source: Deltek, AI security and trust). The SaaS Terms themselves contain no AI training clause, so that promise lives on the web page. If you run Vantagepoint or Ajera on your own servers, the database is already in your hands, and your signed license agreement governs rather than the SaaS Terms.

Pull the Deltek extract early

If a switch to another system, a merger or a closing is possible, request a full extract while the subscription is active. The 30-day window in ST12.2 starts at termination, and a project history that goes back to Deltek Vision is hard to rebuild.

Autodesk, Revit and AI training on your own models

Revit and AutoCAD files usually sit on your own servers or in Autodesk Construction Cloud or BIM 360. In its December 8, 2025 announcement of updated terms, Autodesk said three things that matter here (source: Autodesk News, terms of use update (Dec 8, 2025)):

  • You own your content, and data rights and privacy were unchanged by the update.
  • Under the updated Acceptable Use Policy “you may train on your models and data,” as long as you do not use Autodesk offerings to copy or reverse engineer Autodesk products.
  • Its restrictions on data scraping and data mining apply to Autodesk content and content Autodesk licenses, not to customer content.

By our reading, what stays Autodesk's is its own content: library families, templates and sample content shipped with the software. Manufacturer families downloaded from product sites belong to the manufacturer. Firm-built families, templates and standards are yours. Firms on contracts signed before the update may want to check which version of the Acceptable Use Policy their agreement incorporates, since the update was announced as a clarification. Autodesk's announcement did not address whether Autodesk itself trains on customer content, so that question is answered by your agreement and Autodesk's product terms.

Newforma and Newforma Konekt AI terms

Newforma is where many firms file project email, RFIs, submittals and transmittals, which makes it one of the richest records of design reasoning in the firm. It now has two very different sets of terms.

The current agreement (effective October 1, 2026)

The agreement that applies to order forms from October 1, 2026 says the customer “retains all rights, title and interest in Customer Data” (2.3(e)), that Newforma “shall not sell Customer Data or use it to train or fine-tune any general-purpose or shared artificial intelligence” without prior written consent (2.3(h)), and that it will not use or let third parties use Customer Data unless agreed in writing (2.6(e)). After termination it makes Customer Content available for retrieval for 30 days (3.5.2(b)) and then deletes it from active systems within 90 days (source: Newforma MSSA, effective October 1, 2026).

The Konekt terms (updated June 26, 2023)

Firms that signed up under the Newforma Konekt terms are in a different position. Section 9.2 says the customer remains the owner of its data, but section 9.3 grants Newforma “a worldwide, non-exclusive, perpetual, irrevocable, royalty-free, fully paid, sublicensable, and transferable license,” including “to train and deploy machine learning and large language models and other artificial intelligence technologies.” Section 11.2 keeps that consent in force after termination (source: Newforma Konekt terms (updated June 26, 2023)).

That grant does not stop you licensing your own records. It does mean a buyer cannot be told it is the only party with AI training rights to them, which matters because some buyers ask for exclusivity (source: program terms, Regulr buyer directory). Check which terms your account accepted before you describe Konekt records as exclusive.

Bluebeam AI terms and your markups

Bluebeam holds your review history: markups, Studio sessions, and the QA/QC and submittal comments buyers value. Its Product and Services Addendum, dated March 7, 2026, has two AI provisions worth knowing (source: Bluebeam Product and Services Addendum (March 7, 2026)):

  • Trials and betas with AI features (2.3.2). If you use one, “Bluebeam may use Your files, documents, drawings, site interaction data” and grants itself “a non-exclusive, perpetual and royalty-free, transferable and sublicensable right” to use your content for purposes including training and tuning models. It says the data is aggregated and de-identified first.
  • The AI processing service (7.3). A section headed “No Training” says the covered data is used only to process the customer's request.

The addendum also says Studio participants may access and use content shared in a session (6.2), so sessions with contractors and consultants contain their content as well as yours. For a license, keep your firm's comments and approve or reject outcomes, and find out whether anyone joined an AI trial or beta.

Egnyte and BQE Core: ownership and export windows

Egnyte. Its Terms of Service (July 2026) say the customer or its licensors own all rights in the Content (5.a). Section 11.c puts the export on you: “Customer is responsible for exporting its Content prior to termination,” Egnyte has no obligation to keep it after the termination date, and it destroys remaining copies within ninety days (source: Egnyte Terms of Service (July 2026)). The Terms of Service we read say nothing about AI training; Egnyte's data protection addendum and product terms are separate documents.

BQE Core. BQE's SaaS agreement (last revised April 11, 2022) does not state who owns customer content outright. It makes the customer solely responsible for the content's intellectual property ownership or right to use (8.4), keeps content for 60 days after termination before deletion (5.3), and says BQE has no obligation to hold, export or return it (5.5). It contains no AI training clause (source: BQE Software as a Service Agreement (rev. April 11, 2022)).

Panzura, file servers and Microsoft 365 hold the rest of the archive: calcs, specs, reports, standards and email. On-premises storage is the simplest case, since nothing expires when a subscription ends.

Export formats buyers can use

Owning the data is half the job. The other half is getting it out in a form a buyer can read and link together. A few points that come up with A/E systems:

  • Accounting and project data. Tables of projects, phases, hours, budgets, invoices and opportunities, exported to CSV or Excel with the project number on every row, are the most useful form. The project number is what lets a buyer link a proposal to its hours and its invoices.
  • Models and drawings. Ask each buyer whether it takes native RVT and DWG files, or needs PDF sheets or an open format such as IFC. Native files keep version history and model data, and they also keep more hidden identity (project information, coordinates, file paths) that has to be cleaned.
  • Review and markup history. Markup lists and review comments, with status and dates, carry most of the value of a review session without the reviewed sheets, which often belong to someone else.
  • Project email. Filed project email and RFI logs are most useful with the thread, the date and the project number intact, and with contractor and client identities replaced by consistent tokens.
  • Calcs and specs. Analysis files are often in proprietary formats. Exported reports and the input and output summaries are usually easier for a buyer to use than the native analysis models.

Whatever the format, keep a manifest: which system, which date range, which projects, and what was removed. It becomes the scope schedule in the license and the answer to an acquirer's diligence question later. Years of history and records that link by project number are also two of the factors our data value checker asks about.

Export before you renew, switch or sell

The safest order for any A/E firm thinking about a license, a system change or a sale:

  1. List every system, whether it is hosted or on your servers, and its renewal date.
  2. Request or run full exports while every subscription is active: Deltek within its 30-day window at the latest, BQE within 60 days, Newforma within 30 days under the current agreement, Egnyte before termination.
  3. Note which Newforma terms your account accepted, and whether anyone joined a Bluebeam AI trial or beta.
  4. Keep exports on storage you control, and record what each contains and the date range it covers.
  5. Only then scope a license, screen projects, and give notice to any vendor you are leaving.

A clean export also makes a sale easier, because acquirers ask where the project history lives and whether it survived past migrations. See selling an engineering or architecture firm with a data license in place, and the engineering and architecture firms guide for which records buyers value. How Regulr is paid, and how we write these pages

Regulr is a sell-side advisor. When a business we introduce signs a license, we may be paid a fee by the buyer or through a program's referral terms. We list every program we can verify whether or not it pays us, order is never set by fees, and every figure is the company's own advertised term with a link to where it says so. Regulr has not closed a data deal yet, so nothing here describes our results.

Frequently asked questions

Does Deltek train AI on our Vantagepoint data?

Deltek's AI page says customers' data will not be used to train large language models. That promise is on the AI page; the SaaS Terms we read (V20261009) have no AI training clause either way. The terms do say the customer owns all rights, title and interest in Customer Data (ST12.1).

How do we export our data from Deltek Vantagepoint?

Day to day, Vantagepoint reports and searches export to Excel, which is how most firms pull project lists, hours and billing history. For a full extract at the end of a hosted subscription, Deltek's SaaS Terms provide Customer Data on a written request made within 30 days of termination, after which Deltek has no obligation to keep it (ST12.2). Request the extract well before any notice of non-renewal.

Can we train AI on our own Revit models under Autodesk's terms?

Autodesk said in its December 8, 2025 terms update that you own your content and that under its Acceptable Use Policy you may train on your models and data, as long as you do not use its offerings to copy or reverse engineer Autodesk products. It also said its scraping and data-mining limits apply to Autodesk content and content it licenses, not yours. Content from Autodesk's libraries stays Autodesk's.

What does the Newforma Konekt AI clause say?

Section 9.3 of the Konekt terms (updated June 26, 2023) grants Newforma a worldwide, perpetual, irrevocable, sublicensable license to customer data, including to train and deploy machine learning and large language models, and section 11.2 keeps that consent alive after termination. Newforma's agreement effective October 1, 2026 takes the opposite approach and says Newforma will not train general-purpose or shared AI on Customer Data. Which one applies depends on when and how you signed.

Does Bluebeam use our drawings to train AI?

Bluebeam's addendum (March 7, 2026) says that if you use a trial or beta release with AI features, Bluebeam may use your files, documents and drawings, aggregated and de-identified, for AI training, under a perpetual, sublicensable right. A separate section headed No Training covers its AI processing service. Check whether anyone at the firm joined an AI trial or beta.

What happens to our Egnyte files if we cancel?

Egnyte's Terms of Service (July 2026) say the customer owns its content but is responsible for exporting it before termination, Egnyte has no obligation to keep it after the termination date, and Egnyte destroys remaining copies within 90 days. Export first, then cancel.

Do A/E software vendors own our project data?

Not under the terms we read. Deltek, Newforma, Egnyte and Autodesk all say the customer owns its data or content, and BQE's agreement makes the customer responsible for its content's ownership. The limits are narrower: short export windows, vendor-generated content, and the license some customers granted Newforma under Konekt or Bluebeam under AI trials.
